Reports to: Executive Assistant Type: Non-Exempt Position Summary: Supports functioning of local office and overall Center by performing transcription for medical doctors, psychologists, clinicians and other staff or consultants in need of this service. Performs general office and clerical duties required to support functions of the assigned location(s). Performs a broad range of administrative duties for the Medical Director along with providing complex clerical functions necessary to support the position. Essential Duties and Responsibilities: 1. Prepares accurate, appropriately formatted, typed documents from handwritten notes or machine recording.2. Stores products of transcription appropriately, on network, disk or hard copy as necessary.3. Exercises independent judgment within agreed-upon limits to perform administrative and secretarial support for the Medical Director.4. Prepares monthly schedule for Medical Director, Nurse Practitioner and any other staff in need of this service.5. Prepares confidential correspondence and maintains classified files.6. Performs other high level secretarial functions, including editing of correspondence and making travel arrangements.7. Completes research and/or projects as assigned by the Medical Director.8. Tracks the receipt, distribution and location of sample medications across the Center.9. Participates as required in the support functions of the office to ensure that the process works smoothly; supports Center's goals and objectives.10. Answers telephone inquiries, giving information to callers or routing calls appropriately.11. Compiles and types statistical reports.12. Maintains files and records systems in accordance with Center standards, files correspondence and other records.13. Copies correspondence or other printed matter.14. Performs data entry and other job duties as assigned.Job Requirements: EDUCATION High School Diploma or equivalent required; college level course work in business administration and secretarial functions preferred. EXPERIENCE Three years experience in a business office. Demonstrates mastery of progressively more complex tasks. ABILITIES, KNOWLEDGE, SKILLS Thorough knowledge of medical terminology and mastery of complex administrative and secretarial skills. Ability to operate dictation equipment, personal computer and knowledge of software programs to include word processing, database, spreadsheet and desktop publishing. Excellent verbal and written communication skills required. Ability to exercise independent judgment and to function as team member. |
